Background
The Somalia TIS+ Project goal is to promote good governance and community cohesion. The objectives of this contract are to: 1) Increase confidence in governance based on equitable participation in decision making and management of community assets. 2) Empower community and government representatives to engage with private sector and development actors in a collaborative process for community growth. 3) Increase Somali engagement in creating a more stable future. 4) Support inclusive, sustainable development by reducing gender gaps in stabilization and development.
Objective
The Administration Assistant is a national (CCN) position responsible for overall administrative functions of TIS+. This includes general office management, purchasing and supporting project events. This position will work with other program administrative staff in the Somalia, Somaliland and home office. This position will be based in Nairobi – Kenya.
Primary Responsibilities
Responsibilities include, but are not limited to the following:
Office Management
- Handle the renewal of the business permit and licenses.
- Assist with Monthly statutory payments for Nairobi based staff.
- Processing and obtaining of Visa for TIS+ Visitors i.e. Staff from Somalia, HQ and other third parties as requested.
- Arrange travel and accommodation for staff (local and international) and events; including booking air tickets, travel schedules, taxis, hotels.
- Support the UNHAS account in bookings and payments processing.
- Management of the kitchen and sundries
- Coordinate with the office cleaning and gardening/ Security staff to ensure clean and well maintained office premises.
- Manage and ensure constant supply of office stationary, sundry and maintain stock card.
- Support and coordinate on office building maintenance and utilities (water, electricity, mobile phone) management.
- Assisting in coordinating and setting up of office work stations, issuance of stationary for new staff and visitors as well as consultants.
- Assist in the maintenance of a filing system for project documents in OneSource.
- Send and track all packages to and from the office.
- Management of VAT tracker, preparation and submission of DA1 Forms
- Taking of Nairobi weekly staff meeting notes and circulation of the same
- Secretary of all bid evaluation committees and assist in the preparation of the bid analysis form.
- Coordinate and schedule the booking of the meeting rooms and the required equipment.
Purchasing
- Prepare Purchase requests for operations office equipment, supplies and furnishings in accordance with TIS+ policies and procedures.
- Assist Procurement team with logistical support for delivery and receipt of goods and services.
Any other duties that may be assigned that are related to the above scope of work.
Reporting
The Administration Assistant reports to the Finance & Administration Manager.
Qualifications
- Diploma/ Bachelor’s degree in Business Administration or relevant field.
- Minimum 2 years working experience for medium to large projects.
- Fluent and strong written and spoken English language skills required. Somali language knowledge will be an added advantage.
- Excellent interpersonal, communication, team-working skills with ability to manage a diverse range of professional and cultural relationships essential.
- Highly flexible individual with strong planning, coordination and management skills.
- Demonstrated ability to multi-task and solve problems with limited supervision.
- Strong Excel skills and proficient in Microsoft office suite.
LOCATION:
Nairobi, Kenya
LEVEL OF EFFORT:
1 year with possible extension up to four years in total.
