About the Project:
IFES is currently seeking qualified candidates for a two-year program that aims to promote credible, participatory political processes in Kenya. With this funding, IFES will work with key stakeholders in the country to enhance the participation of citizens in political and electoral processes, increase the capacity of election management body and foster a political environment in which political parties promote inclusion and contribute to peaceful political processes.
Position Summary:
Working under the supervision of the Finance & Operations Officer, this position supports the administration and operations of the IFES Kenya program and contributes to overall effectiveness and efficiency in program delivery.
Key Responsibilities:
Ø General office administration to include:
o Visitors directed as required and details taken at reception desk;
o Mail routing and dispatch;
o Phone/fax management;
o Ensuring adequate amenities in the office;
o Photocopying and binding, as needed;
o Ensuring circulation of office newspapers and other general communications
o Disbursement and management of IFES Kenya phone credits;
o Disbursement and management office petty cash;
o Ensure all office fittings are in good working condition and coordinate for the repairs with the Finance & Operations Officer;
o Ensure safety hygiene standards within the office; and
o Supervise the cleaning of the office.
Ø Manage local vendors, who maintain IFES Kenya facilities; Maintenance of all vendor and office files in both paper and electronic form; and
Ø Maintain the office inventory and schedule the quarterly inventory and report any losses;
Ø Purchase of office supplies and stationery and maintenance of the store log;
Ø Maintain a database of IFES contacts, NGOs and other organizations;
Ø Compiling all necessary documents and drafting LPOs, service contracts, and consultant contracts for local procurements related to office operations;
Ø Other duties as assigned
Minimum Qualifications:
Ø Diploma in Business Administration or any relevant course
Ø Minimum 3years work experience in administrative experience, at least 1year related experience in an NGO or INGO
Related Skills or Knowledge:
Ø MS Excel and MS Word skills required;
Ø Strong command of verbal and written English;
Ø Excellent interpersonal skills and inter-cultural communication skills;
Ø Good judgment;
Ø Initiative as well as ability to take direction; and
Ø Good organizational skills
Language Skills:
Ø Proficiency in English language required.
