Summary
*Project Title: Secondary school construction project at Kakuma (camp 4)
*Project Location: Kakuma, Republic of Kenya
*Project/Contract Duration: 3.5 months (possible for extension)
*Project Objective:
- To build class rooms of the secondary school
- To supply classroom furniture and learning materials such as textbooks
- To give TOT (Training of Trainers) session of Life Skills Education to school teachers
- To give basic technical trainings of building maintenance to school PTA and student group
*Scope of work for Administrative staff
The administrative officer shall,
○ Finance
- Control financial account of both cash and data
- Prepare necessary financial evidence (quotation, invoice, receipt and delivery slip) according to the organization’s guidelines
- Assist in supervising and giving advice as necessary to other staff to ensure their compliance with the required financial procedure
- Assist in negotiating and coordinating with contractors and shoppers
○ Storekeeping
- Keep proper and correct records of all the office consumables and assets with Microsoft Excel
- Assist organization staff by arranging transportation and distribution of office items for project and administrative implementation
○ HR
- Keep proper records of attendance of staff members
- Keep and update HR related information such as contact list and ID cards
- Being a radio controller and keep whereabouts of staff members
○ Logistics
- Arrange for accommodation and flights for staff members and/or visitors
- Assist in coordinating with transporters to deliver project materials
- Assist in purchasing items as instructed by the supervisor
○ Others
- General affair works requested by supervisors
Personnel specification and selection criteria
Experience required:
- Bachelor’s degree holder or higher education (on Commerce or accounting, (preferred))
- More than 3 years of administrative work experience
- Experience in working with aid organization (preferred)
- Interest in Peace Education activity.
Qualifications required:
- Kenyan citizen, residing in Kenya and able to station in Kakuma
- Strong motivation to be part of an aid organization
- Solid drafting/reporting skills
- Native speaker in Swahili
- Fluency in speaking and writing English
- PC literacy at least including word processing (MS Word) and spreadsheets (MS Excel)
- Ability to work both independently, and as part of a team.
- Strong co-ordination and negotiation skills with stakeholders and problem solving skills
- Culturally sensitive and high level of diplomacy and tact
