POSITION SUMMARY
The Project Reporting Officer under the guidance of the Program Director and will be responsible for coordinating and editing the NRM bi-weekly and monthly internal reports and quarterly and annual donor reports for the NRM Project. And also coordinating the monitoring and reporting of project activities, taking minutes in meetings, and assist implementing capacity building activities for beneficiary communities.
POSITION PURPOSE
- Organize and implement project capacity building activities.
- Collate and update the overall reporting data base comprising project wise progress report, progress analysis, and financial progress versus physical progress.
- Coordinate compiling NRM project reports, monitoring, evaluation, reporting and other documentation.
- Monitor the overall financial & Physical progress of awarded contracts.
- Follow-up of cash projections with field office and review monthly cash flow projections
SPECIFIC ROLES AND RESPONSIBILITIES
The Reporting Officer will work within the NRM Program Director, Deputy Program Director, Country Director, and Deputy Country Director and is accountable for implementing consolidation, dissemination and maintaining reporting database. Given the nature of the work, staff is expected to be flexible and may be asked to carry out duties which are not specifically listed above. The job description may be revised after discussion between the staff member and the organization.
In particular, she/he will be responsible for:-
- Updating the overall reporting data base comprising project wise progress report, progress analysis, and financial progress versus physical progress.
- Collate and update the overall reporting data base comprising project wise progress report, progress analysis, and financial progress versus physical progress.
- Assist editing bi-weekly and monthly internal reports and quarterly and donor reports for the NRM Project, including standardizing the format and language/grammar and ensuring a high quality of documentation.
- Prepare periodic progress reports in close support of Program Director and Deputy Program Director and visit field offices when requested.
- Monitor the overall financial & Physical progress of awarded contracts.
- Follow-up of cash projections with field office and review monthly cash flow projections.
- Monitor burn rate on weekly basis and recommend actions.
- Compiling field progress reports on weekly, monthly, quarterly and donor reports for the NRM Project, including standardizing the format and language/grammar and ensuring a high quality of documentation.
- Support preparation of power point presentations and graph charts.
- Facilitate initiation of case studies and evaluation.
- All filing (Soft and Hard Copies, Scanning and organizing);
- Procurement (filling out Adeso documents/meeting requirements);
- Assist preparing NRM TORs, other documents and minutes for the NRM meetings;
- Under the guidance of the Program Director, draft NRM TORs and share with PD/DPD
- Assist/oversee NRM Volunteers with tasks, and maintain NRM staff Lists/ Leave Planning;
- Plus any other duty as assigned by the PD.
· Compile at least two quarterly Success Stories for the Program Director to be forwarded to the Communications team in Nairobi.
- In consultation with the PD/DPD, liaise with community leaders, local authorities and the beneficiaries, and ensure the Adeso capacity building interventions are well understood with full participation;
- In consultation with the PD/DPD, ensure close contacts with the community elders and local authorities in the project areas of operation.
SKILLS AND QUALIFICATIONS
- Graduate degree in a relevant subject.
- Minimum of 2 years experience of food security/NRM work, report writing, ideally in an NGO setting.
- Excellent communication skills with fluency in written and spoken English;
- Excellent report writing, ICT, organizational and analytical skills.
- High level proficiency in MS-Excel, MS-Word and MS-Power Point.
- excellent inter-personal skills, with the ability to network and to develop and maintain strong relationships at all levels, both internally and with local communities, government agencies, the not-for-profit sector and the scientific community;
- Must have a good understanding of natural resources management and initiatives at national and international level;
- Have a working knowledge of financial management, especially of project budgeting and tracking and reporting of expenditure;
- Willingness to travel throughout the project areas in Somalia, sometimes to areas of insecurity.
- Experience in community assessment methodologies (PRA, RRA).
- Ability to adapt to changing program priorities.
- demonstrated fundraising and resource mobilization ability while project implementation and management experience will be an added advantage;
- Ability to work under tight deadlines, and high pressure situations;
Desirable
- Masters degree in social science, community development, environment, and relevant subject.
- Experience and competence in research, monitoring and evaluation.
- Demonstrable skills in report writing and documentation, and updating overall reporting data bases.
