1. Area Finance & Admin Officer - Emali Program
Description of the role:
Reporting to the Area Manager, the Area Finance Officer will be in charge of the financial management in the area
Required skills:
Competent with all Microsoft Office & accounting packages
Good organisational and time management skillsRequired Experience
At least two years Professional experience in accountancy and administration especially in an NGOQualifications:
CPA III, A Bachelors degree will be an added advantageMajor Duties and Responsibilities:
Maintaining all cash books
Issuing cash payments/petty cash management
Ensuring that floats are used for the purpose for which they were issued and that they are recovered on a timely basis
Ensuring that all cash expenditure are appropriately approved
Ensuring that cash expenditures are coded correctly and charged to the appropriate donor/project cash accounts.
Processing cheque payments and ensuring that appropriate supporting documentation is attached to all payments
Ensuring that all invoices are paid on time and that expenditures are appropriately authorized.
Preparing of the monthly management accounts and donor reports;
Preparing financial reports/reconciliation for internal monitoring.
Maintaining the finance department’s filing system

2. Area Manager - Emali Program
Responsible and accountable for all aspects of programming in the program area - particular high quality contract deliverables; new program development and conceptual strategic leadership with respect to area specific programs/projects; team building & staff development; representation and coordination.
Key Duties:
Ensure compliance of (Letter of Agreement) LOA by all projects in the cluster by way of field monitoring visits, review of monthly narrative and financial reports
Ensure all the area adhere to ChildFund programming principles; procurement, administrative and financial policies
Provide technical and administrative assistance to Coordinators in the various projects to enable them meet their goals
Monitor projects to pro-actively identify risks related to LOA/Contract compliance and prescribe, implement and manage corrective action
Ensure ChildFund is updated on progress and developments in the Area through timely submission of reports
Ensure ChildFund funds are used in accordance with ChildFund policies and procedures
Ensure timely audit within Area is undertaken on all the projects and that issues arising from the audits as well as audit recommendations are implemented
Build and foster good relations between ChildFund Kenya, other NGOs, and GOK in order to enhance ChildFund image, visibility and access to information resourcesRequired Experience
Minimum 5 years experience in program development and management
Demonstrated experience to child rights approaches

3. Field Officer - FFA Project
Qualifications
Bachelors degree in Agriculture related training, social science/community development.Required Experience
3 years working experience in designing, implementing and monitoring donor funded projectsDuties and Responsibilities
Mobilize communities and support in the identification of FFA projects, Generation of site specific proposals and in the implementation of FFA Projects through close supervision and monitoring.
Supervise community based Targeting, Identification, Registration and Distribution processes according to CBTD and FFA guidelines and Ensure a gender responsive distribution system where Women/Girls’ have direct access to their entitlements.
Ensure timely, efficient and accountable distribution of Food and Non- Food Items in various FFA Sites/Final Distribution Points
Provide feedback on work norm achievements and constraints encountered during FFA projects implementation and make recommendations and suggestions on a monthly basis.
Facilitate meetings with Relief and Asset Management Committees /Project Committee and Beneficiaries and keep records of such meetings.
Continuously update and maintain all Beneficiary Documents and Records in close collaboration with Relief and Asset Management Committees / Project Committees, Data Assistant and Logistician at the Sites and Cluster Offices.
Prepare and submit accurate and timely monthly, Quarterly and Annual monitoring report on FFA projects, Food and Non-Food Items distribution and collect relevant data at field level for onward discussion with the Project Officers to generate recommendations/ suggestions.
Train communities on use of appropriate rain water harvesting technologies for assets creation, Asset Ownership and Sustainability.
Resolve conflicts and disagreements as they arise during project implementation with the assistance of Relief and Asset Management Committees and local administrative structures..
Liaise with other implementing partners, government line ministries and community stakeholders in the implementation of the Food for Assets projects.
Promote voice of children and youth in implementation of the projects by upholding child protection policy.
Carry out any other duties assigned by the immediate supervisor.

4. Data Assistant - FFA Project
Qualifications
Bachelors degree in Information Technology/Computer science and or statisticsRequired Experience
3 years working experience in implementing and monitoring donor funded projectDuties and Responsibilities of Data Assistant
Design, develop and implement the database at field level for storing, sharing and analyzing data in all areas of the projects' undertakings.
Work with the Project Officers and Field Officers to check and verify data relating to all project activities, and develop suitable monitoring and reporting tools.
Coordinating and supervising methodologies of data collection and verification through the use of computer applications like word processing, spread sheet analysis, access programs among other utilities.
Ensure information on food distribution, Non-Food Items distribution and work norms achieved is keyed in for reporting purposes.
Monthly, quarterly and annual reporting of all the project activities according to established procedures.
Process and distribute a variety of reports including minutes, monthly and annual reports to their respective respondents as required.
Handle data processing operation relating to specific or multiple projects and general maintenance of the database which entails compiling, sorting and verifying accuracy of data entered by comparing with source documents and making the necessary adjustments.
Provision of IT support which entails advising on the operations and maintenance of computer hardware and software.
Develops and maintains relevant databases and filing systems for optimal management of project information and contacts.
Contribute to the project monitoring of performance indicators and regular reporting systems by preparing data analysis, summary sheets and reports in accordance to project needs.
Work in conjunction with the Logistics officer and Office Assistant to provide administrative support to the Project Staff.

5. Grants Coordinator
Job Description
The overall objective of the Grants Coordinator is to facilitate implementation of all grants/contracts/job codes on time, within budget, and in accordance with donor regulations.
Maintains set of core documents for all grants (Proposal, budget, contract, special conditions, regulations, addendum, etc).
Plans for and ensures deliverables are met in accordance with the contract (reports on time, in proper format).
Pro-actively raises issues and concerns with PMs and NO senior management as required in order to ensure NO remains in compliance with the donor contract and regulations.
Working closely with the PMs prepares project narrative report.
Ensures narrative and financial reports are consistence and in final draft form for PMs review and submission to the donor (by Programs Director).
Organizes and convenes monthly meetings with finance and program staff.
Working closely with the PMs, communication with IA/donor regarding changes to the contract (e.g. budget revisions, changes to scope of work).
Prepares performance to target reports.
Capacity enhancement/Mentoring project staff in grants management including field support visits
Participate in grants funded projects monitoring and evaluations.
Any other duty assigned by the programs director.Required Skills
A University degree preferably in international development, public health, social work or equivalent
Strong written and verbal communication skills both in English and KiswahiliRequired Experience
Proven field based experience in coordinating HIV/AIDS, OVC and related programs

6. Project Officer -FFA Project
Qualifications
A Bachelors Degree in Agriculture related training, Environmental and Social Science/Community Development.Required Experience
5 Years Working Experience in Designing, Implementing and Monitoring Donor funded ProjectsDuties and Responsibilities of a Project Officer
Supervise the Implementation of project Activities and Adopted Technologies according to FFA and RWHMT guidelines
Plan and Organize the distribution of WFP/ GOK supplied food and non-food commodities in consultation with communities
Prepare and submit consolidated donor reports to the National Office (ChildFund Kenya) for onward transmission to the donor (WFP) /GOK on; project activities identification and implementation, food and Non-Food Items distribution.
Provide WFP and NDMA with food distribution plans and advice WFP field officers of any changes on distribution days / timing.
Resolve Conflicts and / disagreements as they arise during project implementation and inform WFP, the CSG and NDMA on issues of political interference in WFP/ GOK supported programs
Fully share all relevant joint monitoring findings and the implementation status of joint recommendations to the CSG, WFP and NDMA.
Jointly conduct monitoring of project activities with WFG, CSG and the County FFA Coordinator to ensure the timely implementation of recommendations from the joint monitoring team.
Establish and maintain good working relationships with the relevant Government line ministries and departments at Sub-County/ Division levels with National and international NGOs, community based leaders and other community structures.
Assist in organizing donor and VIP missions to FFA Field sites
Supervise the efficient distribution of food and Non-food items at Field sites and ensure proper distribution of entitlements. Verify that appropriate entitlements are distributed and provide feedback to the Project Coordinator
Assist in conducting regular meetings with local administration and implementation partners on issues relevant to the implementation of FFA Projects
Develop operation movement plans, work plans and reports on the assigned Sub-Counties
Undertake capacity building initiatives for Field Officers and FFA Communities
Integrate and Mainstream DRR measure into the FFA Project

7. Field Officer - DRR Turkana
The Field Officer for the Turkana DRR project will be tasked with the implementation of the project activities.
The officer will undertake the day to day project activities at the field level.
S/he will ensure timely activity implementation and monitoring of the activities at the field as well as facilitating regular updates to the PO and rest of Turkana programme team.
The field officer will ensure that at the field level the project is implemented in synergy with ChildFund Kenya, Turkana program.
The incumbent will ensure a smooth working relationship and in collaboration with other partners and personnel on ground from relevant line/county ministries and NGOs.
Mobilizing and sensitizing community on the DRR project goals and objectives
Facilitating of the pre and post KAP surveys in the target areas.
Organizing and facilitating local documentation and dissemination of KAP survey findings and good practices to local stakeholders.
Facilitating mobilization, training/workshops and running of community based risk reduction management committees.
Facilitating dialogue among the community local leadership, government, and other stakeholders.
Facilitating and supporting the community in linking up with the established local SMS based platform disseminating DRR and climate change information
Ensure smooth collaboration with vernacular radio station for dissemination of whether forecast information and education of agro - pastoralist communities in the target area
Facilitate establishment of 2 youth led mobile public theatres for integrating child protection in community managed disaster risk reduction and climate change adaptation.
Conduct mobilization and formation of community groups for trainings
Facilitate the various groups trainings including VSL, DRR, CCA and the follow up with mentoring and support with relevant livelihoods inputs
Facilitate 3 water resource users groups in registration, training and development of sub catchment management plans.
Undertake regular field monitoring of project interventions
Develop and submit progress reports on timely manner and as per the donor agreement.
Any other duties that may be allocated to him or her by the supervisor.Required Skills
