The Role
The Procurement & Fleet Manager will coordinate all procurement and fleet support services for Komaza’s head office in Kilifi town. Responsibilities include, but are not limited to:
· Procurement Budgeting and Planning: Create and manage monthly and annual procurement plans and budgets. Plan weekly petty cash requests; minimize volume of cash transactions using cheques and Mpesa.
· Procurement Requisition Management: Manage requisitions using an organized spreadsheet (and eventually a bespoke Salesforce MIS) to ensure necessary documentation is provided and filed for future cross-referencing with finance records.
· Supplier Management: Maintain accurate, comprehensive and updated supplier database to inform timely and cost-effective purchasing decisions.
· Fleet Purchases: Create and manage procurement plans for fleet purchases. Conduct comparative purchase analyses weighing urgency of need, alternatives and cost. Ensure warranty support is adequately provided for new vehicles.
· Fleet Maintenance: Create and manage schedule for fleet maintenance using bespoke Salesforce MIS.
· Fleet Administration:
o Create, train and enforce minimum competencies for staff operating vehicles. Ensure all motorbike riders are equipped with and use safety gear at all times.
o Ensure fleet is adequately insured, in good working order, and properly equipped at all times.
o Create and manage a daily user logs. Manage fleet rotation if vehicles are unavailable.
o Create and manage incidents and accidents logs. Implement preventative measures to mitigate accidents. Create and provide dependable emergency response procedure.
· Fleet Disposals: Regularly evaluate whether to keep or sell older vehicles. Create and manage cost-effective, transparent vehicle sale and disposal.
Qualifications & Traits
- Diploma in automotive engineering or higher at a minimum. Preferred undergraduate degree in Business Administration or a related field.
- Minimum 3 to 5 years’ experience in procurement and / or fleet management.
- Excellent spoken and written communication skills; fluent in English and Kiswahili.
- Computer savvy in Word, Excel and PowerPoint; typing speed of 30 WPM or faster; capable and eager to learn Salesforce.
- Attention to detail, organized, autodidactic.
- Proven ability to manage self and others with minimal supervision; able to provide constructive criticism, motivate and coach direct reports.
