Administration officer - Legal Action Worldwide

BACKGROUND
Legal Action Worldwide (LAW) provides legal aid and empowerment to disadvantaged groups in fragile and conflict-affected states. People living in such areas generally experience both an increased vulnerability to human rights violations and a decreased ability to access justice. LAW aims to address this through legal interventions aimed at empowering people to know and exercise their rights. LAW has a regional focus on the Horn of African and a particular emphasis sexual and gender-based violence (SGBV).
JOB PROFILE
Job title: Administration Officer, Nairobi
Reports to: Finance & Administration Coordinator
Responsibilities:
· Ensure good organization and accountability for all office records (including files and documents), materials and equipment.
· Provide support for preparation of payments and ensure proper filing of all financial records based on the procedures and policy in place.
· Manage all movements for staff travel, both local and international.
· Assist in preparation of contracts, both internal (staff, consultants) and external (service providers/ suppliers, other vendors), and maintain a proper follow up system for the same.
· Assist in the process of vendor selection and periodic reviews of service level agreements with various suppliers.
· Ensure that all monthly bills and regular services are updated, received and paid on time.
· Handle payments for staff or suppliers, and ensure reconciliation for the same is done periodically.
· Maintain inventory of stationary and assets, and coordinate supply of the same where necessary.
· Prepare letters and other external communication to vendors where necessary/required.
· Ensure that LAW policy and procedures are adhered to and respected by all.
Desired Qualities and competencies:
· High level of organization and sense of prioritization of tasks.
· Good communication and presentation skills (verbal and written).
· Flexible and proactive with ability to manage different demands (multi-tasking).
· Attention to detail and timelines (ability to meet deadlines on time).
· Good understanding of general HR/Admin procedures and policies, statutory requirements, and good financial/accounting background.
· Able to work independently and can prioritize and organize tasks assigned.
Minimum qualifications & experience:
· A minimum of three years’ experience in Administration (with financial/accounting skills desired), professional designation preferred.
· Experience with an International NGO preferred.
· Bachelors Degree in Business Administration or Accounting.
· Certificate in Certified Public Secretaries, Accounting or HRM desired.
