The Elizabeth Glaser Pediatric AIDS Foundation is a global leader in the fight against pediatric HIV and AIDS, working in 15 countries and at over 5,500 sites around the world to prevent the transmission of HIV to children, and to help those already infected. Today, because of the highly successful work of the Foundation and its partners, pediatric AIDS has been virtually eliminated in the United States. EGPAF Kenya is looking to recruit Three (3) Program Assistantsbe based in Homa Bay and Turkana .
Job Summary
The Program Assistant support program work by facilitating program/training workshop logistics, accounting and administrative support and in addition, implement programmatic and administrative procedures to ensure cost effective and timely handling of program implementation in line with laid down policies, procedures and plans.
Key Responsibilities
- Provide administrative and logistics support for management of program trainings and workshops.
- Assist in handling and management of field office travel and program advances and ensure that they are approved and processed in time.
- Ensure that all documents supporting retirements of advances received from the program staff are complete, accurate and on time.
- Liaise with Finance Officer and maintain updated field advances records and ensure that no advances are issued before the outstanding one is retired adequately.
- Ensure that all participants in workshops are paid their allowances in time and adequate documentation is provided to support the transactions.
- Monitor/audit the use of funds advanced to the sites/facilities for activities such as airtime, repairs, utilities, etc.
- Ensure that all LPOs issued by the sub office are dispatched to vendors in time and their receipt is acknowledged through proper documentation.
- Work with the Procurement Officer to facilitate hotel bookings, transportation, logistics and other travel needs of the field staff.
- Provide clerical support to the program staff as needed
- Assist in ensuring that all supplies to the facilities are well a counted for in line with the distribution plan and recorded in the facility inventory register, delivery notes are signed and returned
- Assist in coordinating collection and collation of health care reports, e.g. Peer Educators reports, Lay counselors reports, etc., which are then used to support their payments
Required Qualifications
- Higher Diploma in Business Administration, Social Science or equivalent
- High level of computer literacy
- Have excellent interpersonal, organizational and administrative skills
- Minimum 1 year relevant experience preferably in a donor funded agencies and knowledge and experience of USAID rules and regulations.
