Operation Coordinator

BACKGROUND
Since its foundation in 1968, GRT (Group for Transcultural Relations) has been working with socially marginalized groups and individuals by setting up protection mechanisms in order to promote social inclusion.
GRT is active in Somalia/Kenya since 1996, where the main fields of intervention are: Community Mental Health and Psychosocial Support (MHPSS), Protection (GBV and Street Children) and (forced) Migrations, being expression of GRT’s core areas of expertise.
PURPOSE OF THE POSITION
In a bid of improving the overall quality of project delivery the organization seeks to fill the position of Operation Coordinator for its protection and MHPSS programme.
With managerial support from GRT Programme Coordinator/Regional Representative, the operation coordinator will ensure that programme’s goals and objectives are met in a timely and effective manner.
KEY RESPONSIBILITIES
  • Supervise regional administrative team ensuring internal and donor financial procedures are timely met;
  • Support regional administrative team in budget preparation, revision and forecasts;
  • Coordinate with the field Coordinators/managers to ensure sound management of the overall programme implementation;
  • Ensure effective and efficient programme funds allocation;
  • Perform timely financial monitoring as per GRT procedures (including filed based monitoring);
  • Inform the Programme Coordinator/HQ on operation monitoring outcomes and provide recommendations and guidance for improvements;
  • Pro-actively contribute to program development and strategy;
  • Supervise procurement management;
  • Implement regular training and briefing sessions for admin staff;
  • Manage project office administrative and logistic teams;
  • Monitor and maintain compliance with standard GRT procedures and guidelines;
  • Approving expenses;
  • Ensure compliance with all local government financial reporting, taxation and labor regulations;
  • Carry out any other duty as assigned to by GRT management.
ESSENTIAL REQUIREMENTS
  • A Bachelor's degree (Master's preferred) in finance, administration, or related area;
  • Experience supervising finance and administrative staff;
  • Strong knowledge of donors financial reporting and procurement procedures (i.e. EU, DFID, MAE, UN)
  • Strong computer skills
  • Management skills and excellent interpersonal communication skills;
  • Verbal and written proficiency in English;
  • Ability to write accurate reports;
  • Capable of working pro-actively and independently, while being an excellent team worker.
  • Honesty and truthfulness.
  • Good understanding of humanitarian practices.
DESIRABLE COMPETENCIES
  • Ability to speak Italian language is an asset;
  • Previous experience and understanding of Somali context is advisable;
  • Experience in staff management and project management;
  • Knowledge of protection and/or MHPSS related issues in humanitarian settings.
