Administrative Assistant

Liverpool School of Tropical Medicine (LSTM) is an internationally recognised centre of excellence for research in global health. The Maternal and Newborn Health Unit (MNHU) is an active academic unit within LSTM seeking to improve maternal and newborn health globally. As a centre of excellence the unit aims to improve the availability and quality of healthcare for mothers and babies, contributing to a global reduction in maternal and new born mortality and morbidity and improvement in quality of life.
In order to support this on-going commitment we are seeking to recruit an Administrative Assistant, helping to deliver our Maternal and Newborn Health programmes based in the Nairobi office for an initial period 1 (one) year beginning August 2013.
Key Duties will include:
Administrative support
  • Assist to plan and coordinate support supervision, M&E and baseline activities by programme team members and MOH partners
  • Assist in coordinating provision of transport for programme activities
  • Assist to coordinate events ,training and meetings with partners
  • File documents in a timely manner and assist to maintain the filing system
  • Support preparation and keeping programme documentation up to date- that would include meeting notes, training data bases, baseline survey and M&E databases, etc.
Data management support
  • Compile MIH and other data from all intervention areas, conduct data quality and share databases for decision making in a timely manner
  • Assist to develop and update procedures and tools for collecting, entering, editing and transferring data
  • Conduct regular and adhoc data quality checks on data from different intervention areas
  • Ensure the existence of appropriate systems for backing up data and storing data in a safe and confidential way.
  • Participate in M&E and baseline trainings/activities and team meetings
  • Prepare monthly and quarterly reports
Qualifications:
You will be educated to diploma/degree level or equivalent in business administration, logistics and administration, data management, health care administration or other relevant disciplines and will possess proven experience of working on research projects and with project data. You must have at least 1-2 year of relevant experience in project/programme assistance and logistics coordination. Experience and excellent familiarity with processes and systems for project coordination and knowledge of financial management are essential to the role. Experience of working with the health projects/programmes would be advantageous to the role.
We are looking for an individual with excellent communication skills (both written and verbal) with the ability to communicate with people at all levels, be detail oriented and have strong organizational skills, plus the ability to work as an integral and co-operative member of a multi-disciplinary program team. This role will require you to work to tight deadlines so excellent time management are essential.
